背景

客户是外国人的时候,交流时常用邮件,本文总结在邮件的不同结构、不同需求背景、不同项目阶段下的常用句式。第三部分项目进程以 ERP 实施项目的特性进行总结。

一、按结构

1. 邮件开头

万能开头:

  • "I hope this email finds you well."

引入主题/事项:

  • "I’m writing to follow up on our recent discussion about [topic]."
  • "I wanted to reach out regarding [subject]."

2. 结尾

对金主妈妈千恩万谢:

  • "Thank you for your continued trust in our services."
  • "We truly appreciate your business and are here to help however we can."
  • "Thank you for your time and attention to this matter."
  • "We appreciate your business and hope to continue working together."

项目未完,礼貌结尾:

  • "I look forward to your response."
  • "If you have any questions or need further clarification, feel free to reach out."
  • "Please let me know if you need any further information."

二、按需求背景

1. 同步信息

介绍需要同步的内容:

  • "I wanted to update you on the status of [project/task]."
  • "I’d like to inform you that [issue or update]."

介绍附件具体文件:

  • "Please find attached the [document/report] you requested."
  • "As discussed, here is the proposal for [service/project]."

2. 确认进度

要回复:

  • 直接版:"Could you please confirm [date/time/details]?"
  • "I’m following up on my previous email sent on [date] regarding [topic]."
  • 客气版:"I would appreciate it if you could provide feedback on [specific task]."
  • "Just checking in to see if you had a chance to review my last message."

催行为进度:

  • "We would appreciate it if you could kindly complete [action] by [deadline]."
  • "I would appreciate any updates on [specific issue or request]."

3. 道歉

滑跪:

  • "We apologize for any inconvenience this may have caused."

客户发现问题:

  • "Thank you for bringing this to our attention. We are looking into the issue and will get back to you shortly."

进度拖慢了:

  • "We regret the delay and are working to resolve the matter as quickly as possible."

4. 提供帮助/解决方案

了解需求:

  • "We’re here to assist you with any further inquiries."
  • "Please do not hesitate to contact me if you require any additional information."

给出解决方案:

  • "After reviewing your requirements, we propose the following solutions."

5. 约会议

针对某事项进行讨论:

  • "I’d like to schedule a meeting to discuss [topic] further. Please let me know your availability."
  • "Would you be available for a call on [date] at [time] to go over [subject]?"
  • "Let’s set up a time to review the details of the project."

介绍解决方案:

  • "We would like to schedule a meeting to discuss how we can assist with [business need]."

三、按项目进程划分

本部分将项目进程粗略分为:前期调研,蓝图确认签字,实施,数据导入,客户培训,上线,项目验收。

1. 前期调研阶段

  • "Thank you for taking the time to meet with us for the project research. Please confirm if the key business requirements we collected are accurate."
  • "To ensure a clear understanding of your business processes, could you please provide more details regarding [specific business process]?"
  • "Please find attached the draft research report based on our initial discussions. We look forward to receiving your feedback."

2. 蓝图确认签字阶段

  • "Please review and confirm the attached draft blueprint for the [project]."
  • "Once confirmed and signed, the blueprint will serve as the formal reference for implementation."
  • "If you have any questions or would like to suggest modifications to the blueprint, please let us know by [date]."
  • "In order to proceed with the project on schedule, kindly arrange for the blueprint confirmation and signature at your earliest convenience."

3. 实施阶段

  • "Thank you for providing the implementation requirement document. Please confirm if the details below align with your company’s needs."
  • "We have compiled the requirements list; kindly review and confirm the final version to ensure smooth project progression."
  • "Based on the requirements you shared, we estimate that [function/module] will be completed by [timeframe]. Please confirm if this timeline works for you."

4. 数据导入阶段

  • "To proceed with the data import, we kindly request access to the necessary system permissions."
  • "Please review the required permissions outlined below and confirm if they are accurate. We will proceed with the data import accordingly."
  • "Once the access permissions are granted, we will initiate the data import as scheduled."

5. 客户培训

  • "As we prepare for system training, we would like to confirm the schedule and participants. Could you please provide the names of the users who will attend the training sessions?"
  • "Attached is the training agenda. Please review and let us know if any adjustments are required."
  • "To ensure smooth usage post-training, we recommend providing users with pre-training materials, which are included in the attachment."

6. 上线阶段

  • "We are pleased to inform you that the system is ready for go-live as scheduled on [date]. Please confirm if all necessary preparations have been made on your end."
  • "As the system is set to go live, we would like to coordinate final checks. Could you confirm the availability of your key team members for a meeting on [date]?"
  • "Please confirm your approval for the system to go live, as we have completed all required checks."

7. 项目验收

  • "We are pleased to inform you that the project is ready for final acceptance. Please review the completion report and confirm the next steps."
  • "As the project approaches completion, we would like to schedule an acceptance meeting. Please suggest a convenient date for final evaluation."
  • "Thank you for your collaboration throughout this project. Please sign the attached project acceptance document to formally close the project."
